How to plan meetings that deliver results
Here are our 10 best tips for creating a successful meeting that participants will remember. With almost 150 years of experience, we at Nermo Hotel know what it takes to facilitate great meetings between people – and we consider ourselves a conference hotel that delivers.
1. Choose the right meeting venue
Select a room based on the number of participants – cramped spaces can ruin an entire day. Consider layouts such as classroom style, boardroom, or U-shape. At Nermo Hotel, we offer venues for 6–100 people, from library-style rooms to a barn setting.
2. Take time to create a good programme
Professional content is important, but variety is essential. Include a surprising element or activity that creates energy. Keep in mind that the time after lunch can be demanding, so plan accordingly.
3. You can never have too much coffee and ice water
We serve good, classic coffee, a selection of teas, and fresh mountain water. Simple, but important – and always included in our course packages.
4. Make sure participants are comfortable
A good meeting is about good experiences. Welcome participants properly, stay on schedule, and ensure breaks and meals are provided. We are happy to help make sure everyone feels seen and taken care of.
5. Allow enough time for breaks
Good breaks lead to better meetings. Add a little extra time, as a 10-minute break often becomes 15. The best conversations often happen outside the meeting room.
6. Have control over light, sound, and technology
Test the equipment in advance. Poor sound or visuals creates a bad start. Arrive a little early, and we will help ensure everything works as it should.
7. Don’t underestimate the importance of break food
Good snacks provide energy throughout the day. Consider starting with something to eat and focus on quality and variety. We are happy to assist.
8. Lunch is the most important meal of the day
A good lunch creates space for both food and meaningful conversations. We recommend a two-course lunch and plenty of time around the table.
9. Leave some breathing room in the programme
Avoid an overly tight schedule. Allow time for reflection and closing, and be realistic about timing.
10. A meeting isn’t over until you’ve received feedback
Ask for feedback afterwards. It provides valuable insights and the opportunity to improve even further next time.
